Purpose
The purpose of these booking status definitions is to provide clear and consistent terms for tracking the progress and priority of event bookings at the Campus. These definitions ensure transparency in how bookings are managed and prioritized.
Scope
This policy applies to all Campus bookings, including internal programs, campus residents, and third-party events. The booking status terms outlined below are used to manage and communicate the status of all reservations.
Booking Status Terms
Inquiry:
- A potential client has expressed interest in booking a space, but no formal steps have been taken yet. This status indicates the earliest stage of engagement.

Holds
- The client with the lowest number (1st Hold) has the highest priority for the space, but the booking is not yet confirmed. Negotiations are advanced, and there is a strong likelihood that the space will be secured unless unforeseen issues arise.

Tentative (29):
- A rental agreement has been sent to the client, and the space is reserved pending the completion of necessary steps, such as signature and payment. The booking is not fully confirmed but is expected to proceed to confirmation.
Confirmed (30):
- The event is fully confirmed, with all contractual obligations met. Planning is actively underway, and the event will proceed as scheduled. The space is secured and no longer available for other holds.
Event Published (40):
- The event is not only confirmed but has completed all planning stages. There will be no further changes to the event details, and it has been officially announced or published to the public. This is the final status before the event takes place.
Ready to Invoice (46):
- The event has concluded, and administrative steps are required to complete the billing process.
Invoiced (50):
- The invoice has been sent, and the event is awaiting final payment of outstanding charges.
